How to avoid double booking in vacation rentals

A double booking is the most expensive mistake in vacation rentals: two guests, one chalet, one weekend. It almost never comes from carelessness. It comes from several people selling the same dates with different copies of the calendar.

Why double bookings happen

Most properties are sold in more than one place: by the owner, by one or more agencies, and on listing sites such as Airbnb or Booking.com. Each place keeps its own record of what is free. The moment two of them are not updated at the same time, the same date can be sold twice.

  • ✓Calendars kept in chat messages, notebooks or spreadsheets that fall out of date.
  • ✓An agency confirms a client while the owner is still replying to another agency.
  • ✓A booking made on a listing site is never copied to the other calendars.
  • ✓A date is promised verbally and nobody writes it down.

The fix: one calendar everyone reads

The reliable answer is a single shared calendar for each property, read by the owner and every agency that sells it. When a date is taken, everyone sees it taken at once. Nobody has to ask, and nobody has to remember to tell the others.

Add holds with a deadline

Most bookings are not instant. A client says they will think about it and pay tomorrow. Without a hold, the date is either blocked forever or left open for someone else to take. A hold with a deadline solves both: the date is reserved for your client, and it releases by itself if payment does not arrive in time.

Connect your listing sites

Most listing sites can export a calendar link (an iCal link). Connecting that link to your shared calendar means a booking made there blocks the same dates for everyone else. Connect one link per site you are listed on.

A simple routine to follow

  • ✓Keep one shared calendar per property.
  • ✓Check it before you promise a date.
  • ✓Hold a date as soon as a client shows serious interest, and say when the hold ends.
  • ✓Confirm the booking and record the payment as soon as it arrives.
  • ✓Connect every listing site you use.

StaySync is built around exactly this routine: a live shared calendar, holds that expire by themselves, Plan B backups for contested dates, and calendar links from your booking sites.
